REGISTRATION AND REFUND CONDITIONS FOR EVENTS

CONDITIONS OF
REGISTRATION – WITHDRAWAL – REFUND – VOUCHER

Please read the registration form for the proposed initiatives before filling out the form.

To participate in the activities organized by OVER2000RIDERS under the aegis of AICS it is necessary to be regularly registered.
All costs relating to Membership, of any type, are non-refundable under any circumstances.

The Contract is governed not only by these general conditions, but also by the clauses in the Membership Form and the Activity Registration Form, as well as by the information in the description of the latter.

Acceptance of the registration application is subject to availability and is considered complete only upon confirmation from the organizers and exclusively after receipt of payment. Failure to pay or late payment will put the registration on hold and participation in the event cannot be guaranteed.

If, before departure, the organization is forced to significantly change any essential aspect of the contract, including the price, the participant will be promptly notified. A change exceeding 15% of the price is considered significant. In this case, the participant will have the right to withdraw from the contract without paying any fee, or to accept the change.

If the organization is unable to provide an essential part of the program during the event, it will find alternative solutions at no additional cost.

In the event of postponement, delay, cancellation, or cancellation of the event, the organizer will immediately inform participants via all communication channels available to them.

Participants who are unable to register for the new event date due to the change in program will have a maximum of 8 (eight) days from receiving the information to request a refund of the registration fee paid to the Organization.

In case of cancellation of the event for reasons not attributable to the will of the Organization, participants will be refunded a portion of the registration fee, with excluding the cost of AICS membership –Over2000riders and fixed charges equal to 30% of the total amount paid.
Therefore, The refunded amount will correspond to the registration fee net of the membership fee and the 30% withholding tax..
The unreimbursed amounts are intended to cover the expenses already incurred by the Organization, as well as fixed and organizational costs anticipated for the realization of the event.
Any bank transfer or wire transfer costs for the refund will be borne entirely by the beneficiary.
Refunds will be made no later than 3 (three) months from the date of receipt of the request.

CANCELLATION OF REGISTRATION BY THE PARTICIPANT

The registration fee is intended to cover organizational expenses and is not automatically refundable. All membership fees, of any kind, are non-refundable under any circumstances.

Only the following methods are permitted:

Cancellation communicated within 30 days before the event date.
The participant can choose one of the following options:

  • 50% refund of the registration fee paid.
    or
  • Voucher equal to 70% of the paid registration fee, a personal credit, non-refundable for cash, valid for the current and following year. Can be used for events, travel, courses, and official activities. OVER2000RIDERS.

Cancellation communicated from 29 days before the event date onwards:

  • No monetary refunds.
  • Release of a voucher equal to 30% of the paid registration fee, a personal credit, non-refundable for cash, valid for the current and following year. Can be used for events, travel, courses, and official activities. OVER2000RIDERS.

HOW TO REQUEST
Withdrawal requests must be sent exclusively a: secretary@over2000riders.com
or through registered mail with return receipt
It will be valid the date of receipt of the communication.

DELIVERY TIMES

  • Approved refunds will be processed no later than three months after the conclusion of the event.
  • Vouchers will be sent by email and named to the participant.

CONDITIONS OF LIABILITY

Participant's responsibility for the vehicle and conduct during the event:
It is the participant's responsibility to ensure that their vehicle, with which they will participate in the event, is in good condition to avoid foreseeable breakdowns before departure. Vehicles must have tires in excellent condition and suitable for off-road driving and on dirt surfaces in general. Participants must also adhere to the rules of common prudence and diligence and all information provided by the organization. Each participant remains solely responsible for their actions, both with regard to off-road driving and in any other circumstances. No liability can be attributed to the Association or to other participants, whether or not participating in the activities. Participants release the organization from any liability for any damage to persons and/or property caused while driving their vehicle during the event.

Organization Responsibilities and Limitations:
The organization is liable for damages caused to Participants due to failure to fulfill the agreed-upon obligations for the activity, unless such failures result from causes attributable to the Participant's behavior or from unforeseeable circumstances, force majeure, or circumstances that the Organization could not reasonably foresee or resolve. In the event of a Participant's vehicle breakdown, the organization is not obligated to recover the vehicle, provide a refund, or provide replacement vehicles or anything else, unless otherwise agreed. The organization is not responsible for route changes due to unforeseen circumstances such as impassable roads or the introduction of traffic restrictions, or otherwise. The organization is required to provide assistance to the Participant with due diligence and solely and exclusively as provided in the Contract.

Acceptance of the Regulations:
By registering for the Event, the Participant declares to have read, understood and accepted in full these regulations and any regulations and details included in the event or registration form, waiving any further requests for refunds or compensation not expressly provided for.
