REGISTRATION AND REFUND CONDITIONS TOUR - TRIPS (TRAVEL) – COURSES (ACADEMY)
Please read the registration form for the proposed initiatives and activities before filling out the form.
To participate in institutional activities, it is mandatory to be a member and to register. Over2000riders + AICS By following the procedure indicated on the "Membership" page. The membership fee includes the AICS membership card, which guarantees insurance benefits and discounts valid nationwide.
To participate in the commercial activities offered by the association, where it is specified that membership is not required, membership is still recommended, but not mandatory.
The Contract is governed not only by these general conditions, but also by the clauses contained in the Association Registration Form and in the Registration Form for the proposed Activity, as well as by the information contained in the Description of the latter.
Acceptance of the registration application is subject to availability and is considered complete only upon confirmation from the organizers and exclusively after receipt of payment. Failure to pay or payment received after the due date will result in registration being considered pending or cancelled, and participation cannot be guaranteed.
If, before departure, the organizer is forced to significantly change any essential aspect of the contract, including the price, the participant will be promptly notified. A change exceeding 15% of the price is considered significant. In this case, the participant will have the right to withdraw from the contract without paying any fee, or to accept the change.
If the organizer is unable to provide an essential part of the program during the proposed activity, they will have to find alternative solutions at no additional cost to the participant.
In the event of postponement, delay, cancellation, or cancellation of the proposed activity, the Organizer will immediately inform participants via all communication channels available to him.
Any participant who is unable to register on the new proposed date due to the change in program will have a maximum of 8 (eight) days from receiving the information to request a refund of the registration fee paid to the Organizer.
The refund will be paid no later than 3 (three) months from the date of the request.
THE PAYING PARTICIPANT WILL NOT BE ENTITLED TO ANY REFUND IN THE FOLLOWING CASES:
- Voluntary cancellation of the application for registration by the participant.
- Unable to attend the event due to viral diseases including COVID 19.
However,, the participant has the option to submit a refund request, specifying the reasons. If the organizer deems these reasons valid, the refund will be made as follows:
Refund Terms (if accepted)
Refunds are calculated based on days prior to the date of the proposed activity where the request is sent:
- For requests sent up to 120 days before the date of the proposed activity the fee will be refunded 40% of the registration fee. Alternatively, you can request a voucher equal to 80% of the value of the fee paid, also valid for the following year.
- For requests sent from 119 to 60 working days before the date of the proposed activity the fee will be refunded 30% of the registration fee. Alternatively, you can request a voucher equal to 50% of the value of the fee paid, also valid for the following year.
- For inquiries send by 29 giorni No refunds will be made before the date of the proposed activity, as the organizational costs will have already been incurred. However, the organizer, at its discretion, may offer a voucher equal to 20% of the value of the fee paid, also valid for the following year.
Refunds or vouchers will only be issued if it is possible to cancel reservations already made by the Tour Operator.
The organizer, at its discretion, may offer a voucher equal to 100% of the value of the fee paid:
- For the Tour one or two days – Courses (Academy): only if the Organizer has not already incurred non-refundable expenses.
- For Travel (Travel): only in the event that it is possible to cancel reservations already made by the Tour Operator.
The voucher will also be valid for the year following the event.
Absence due to health or injury
In the event of absence due to health reasons or injury, the participant must provide the organizer with hospital documentation issued exclusively by a public or private healthcare facility. Certificates issued by the attending physician will not be considered valid. The documentation must be submitted within 30 days of the date of the proposed activity. The organizer, after examining the documentation, reserves the right to accept or reject the refund request, even if the documentation is deemed inadequate.
- Only if the refund request is accepted will the Organizer refund 80% of the participant's expenses, excluding any non-refundable expenses incurred by the Organizer. The remaining 20% will be retained as an administrative fee.
- For inquiries received starting from 30 days before the event date, no refund will be made, as the organizational costs will have already been incurred.
However, the Organization, at its discretion, may offer a voucher equal to 25% of the value of the paid share, also valid for the following year.
Refunds or vouchers will only be issued if it is possible to cancel reservations already made by the Tour Operator and the Organizer have not already incurred non-refundable expenses.

Alternatively, registered mail with return receipt.
Refunds, if accepted under the terms and conditions above, will be made no later than 3 (three) months after the end of the proposed activity.
Participant's responsibility for the vehicle and its conduct during the proposed activity
It is the participant's responsibility to ensure that their vehicle, with which they will participate, is in good condition to avoid foreseeable breakdowns before departure. Vehicles must have tires in excellent condition and suitable for off-road driving and on dirt surfaces in general. Participants must also adhere to the rules of common prudence and diligence and all information provided by the Organizer. Each participant remains solely responsible for their actions, both with regard to off-road driving and in any other circumstances. No liability can be attributed to the Organizer or to other participants, whether or not participating in the activities. Participants release the Organizer from any liability for any damage to persons and/or property caused while driving their vehicle during the proposed activity.
Organization Responsibilities and Limitations
The Organizer is liable for damages caused to Participants due to failure to fulfill the agreed-upon obligations for the activity, unless such failures result from causes attributable to the Participant's behavior or from unforeseeable circumstances, force majeure, or circumstances that the Organizer could not reasonably foresee or resolve. In the event of a Participant's vehicle breakdown, the Organizer is not obligated to provide any refund or replacement vehicles or anything else, unless otherwise agreed. The Organizer is not responsible for route changes due to unforeseen circumstances such as impassable roads or the introduction of traffic restrictions or other measures. The Organizer is obligated to provide assistance to the Participant with due diligence and solely and exclusively in accordance with the provisions of the Contract.
Accommodations are subject to the availability of existing accommodations in the areas where the proposed Activities take place. The Organizer will inform the Participant of the standard of the accommodations chosen and used. If, for reasons beyond the Organizer's control, a facility is unavailable, the Organizer will make every effort to find alternative solutions.
